1. Payment Terms
• Accepted Payments: Credit/debit cards, ACH transfers, bank wires, and approved purchase orders (Net-30 for qualified customers).
• Deposit Requirements: Certain services may require a deposit prior to scheduling, especially multi-day or travel-intensive jobs.
• Final Payment: Due upon completion of service unless otherwise stated in a written agreement.
• Late Payments: Invoices past 30 days may incur a late fee and suspension of future service until the account is current.
2. Service Scheduling & Cancellations
• Scheduling Confirmation: Appointments are confirmed only after approval of the quote and service agreement is signed/returned and—if required—a deposit.
• Rescheduling: Customers may reschedule with no penalty if done 48 hours before the scheduled visit.
• Cancellations: Cancellations within 24 hours of the appointment may incur a cancellation fee due to travel and time commitments.
• On-Site Requirements: Machines must be accessible, safe, and powered on unless otherwise arranged.
3. Travel & On-Site Conditions
• Service Coverage Area: Wisconsin & Illinois (extended travel available upon request).
• Travel Charges: All travel is billed on quote as roundtrip and is included in quotes up front.
• Customer Responsibilities:
• Ensure technicians have safe access to machines.
• Provide necessary machine documentation (if available).
• Notify Machine Tech before the visit if the machine has known hazards or is non-operational.
4. Parts, Materials, & Consumables
• Parts: All parts are supplied by customer unless otherwise agreed to.
• Lead Times: Parts availability is subject to supplier inventory; timelines will be communicated clearly.
• Warranty: Parts sourced by Machine Tech carry the manufacturer’s warranty. Labor warranties are detailed in your service agreement.
5. Service Warranty & Liability
• Workmanship Guarantee: Machine Tech guarantees workmanship for 30 days on repairs and adjustments performed.
• Limitations: Warranty does not cover misuse, operator error, neglect, or unrelated machine failures.
• Non-Liability Clause: Machine Tech is not responsible for loss of production, lost revenue, or downstream machine failures resulting from pre-existing issues or customer modifications.
6. Quotes & Pricing
• Written Quotes: All services require a written quote outlining labor, parts, travel, and estimated completion times. Finale itemized invoice will very depending on services rendered.
• Price Validity: Quotes are valid for 30 days from the issue date.
• Additional Findings: If issues are discovered on-site that require extra work, a revised quote or on-site approval will be provided before continuing.
7. Coolant Tank Cleaning Policy
• Machine Tech does not dispose of removed coolant; it is the customer's responsibility to dispose of all old coolant at the end of service.
• Service duration is typically 2 days per machine, but varies by machine condition/size.
• Bacteria-killing cleaning solutions and safe industrial procedures are used during Machine Tech's coolant cleaning and sanitation services.
• Any coolant-system issues discovered during cleaning will be documented and reviewed with the customer.
